By Mikhail Oskola, Founder & AI Automation Architect · October 27, 2026 · 10 min read

Checked: prices, free plans, automation limits, the integrations and both import paths on 27 October 2026, against Zoho's and monday.com's own pricing pages, feature lists, help centers and the monday Marketplace, in USD.

Zoho vs Monday: pick Zoho CRM if a small team wants to start free and get automation on the cheapest paid plan. Pick monday CRM if onboarding and delivery should run on the same boards as the pipeline. Monday vs Zoho on price: monday CRM costs less per seat, tier for tier, from 3 seats. Checked 27 October 2026.

Zoho CRM vs monday CRM at a glance

Zoho CRM has a free plan for 3 users and prices its paid editions per user, from $14 a month billed annually. monday CRM has no free plan, prices per seat from $12 billed annually, and sells from 3 seats. Its automations start on Standard, at $17 a seat. Checked 27 October 2026.

Every row comes from the vendors' own pricing pages, feature lists and help centers, read in a US browser, in USD, on 27 October 2026. A few Zoho limits come from its complete feature list, marked "Last updated on: May 12, 2026", which we last read on 23 October. Both vendors sell more than one product under the same name, so the next section sorts out which Zoho and which monday this search is about.

Which Zoho, which monday?

Most people searching "zoho vs monday" mean the two CRMs, Zoho CRM and monday CRM. Some mean the project tools, Zoho Projects and monday work management, which are separate products with their own prices. If that's you, skip to the Zoho Projects section below.

Zoho has two more names that come up. Bigin is Zoho's pipeline-only CRM, which Zoho's pricing page calls "Simple CRM for first-timers". Zoho One bundles "50+ unified business apps" in one license. monday.com's CRM and work management products have separate price lists, and its help center treats them as separate products. Whether one monday account can hold both on one bill isn't stated on the pages we read.

How much do Zoho CRM and monday CRM cost for 3, 5 and 10 users?

monday CRM costs less per seat than Zoho CRM at each tier, billed annually or monthly. Zoho CRM costs less in two cases: one to three users can stay on its free plan, and its cheapest paid plan with automation is $14 a user against $17 on monday CRM Standard. Both pricing pages read on 27 October 2026.

The tiers pair up by their place in each price list: Zoho Standard with monday Basic, Professional with Standard, Enterprise with Pro. That pairing is ours, not either vendor's. Billed monthly, the pairs are $20 against $18, $35 against $25, and $50 against $41.

monday CRM's FAQ says "Plans start from 3 users", so one or two sellers still pay for three seats: $432 a year on Basic. monday showed the same per-seat price at 3, 5 and 10 seats on 27 October. Zoho charges per user, monthly or yearly, and says "You are not bound by any contracts or commitments."

Neither top tier is on the US price cards. monday CRM Ultimate is a "Custom price" through sales. Zoho CRM Ultimate is $52 a user billed annually, $65 billed monthly, on Zoho's edition comparison page dated June 4, 2022.

Is there a free plan?

Zoho CRM has one and monday CRM doesn't. Zoho CRM Free is "Forever free, for 3 users" and holds up to 5,000 records. monday CRM's FAQ says your first option is "a 14-day trial", after which you need a paid plan; nonprofits may qualify for free access or a discount. Checked 27 October 2026.

Zoho's Free card lists contact management, workflow automation, custom email templates, data import and export, standard reports, APIs and mobile apps. Its feature list leaves out mass email, Blueprints and webhooks, and allows 10 workflow rules per module, 5 of them active.

Is Zoho Projects really free? Yes, for up to 5 users and 3 projects, with 5 GB of storage and 50 workflow action runs a month. monday work management also has a free plan, for up to 2 seats and 3 boards.

Automation limits

Zoho CRM caps how many workflow rules you can build. monday CRM caps how many automation actions run each month. The units differ, so compare headroom, not totals. Zoho's rules start on the free plan; monday CRM's automations start on Standard. Checked 27 October 2026.

Zoho's feature list gives workflow rules per module: 10 on Free (5 active), 30 on Standard (15 active), 80 on Professional (40 active), 125 on Enterprise (75 active) and 150 on Ultimate (100 active), within 2,500 rules per organization. Blueprints, Zoho's guided step-by-step processes, start on Professional with 3, then 50 on Enterprise and 100 on Ultimate. Custom functions inside workflows start on Enterprise. We found no monthly cap on workflow runs on the pages we read.

monday CRM's pricing cards list no custom automations on Basic, "250 custom automations /month" on Standard and "25K custom automations /month" on Pro. Its help center counts integration actions separately, 250 a month on Standard and 25,000 on Pro. The quota is shared by the whole account, not set per seat.

At the cap, monday's help center says the first time over 250 brings an email and "enforcement will not be applied yet". After that: "When reaching the 100% full quota limit, you will receive a grace period of 72 hours before your automation runs will be paused." It also says "only Enterprise customers can purchase additional actions".

Our reading: a team with a lot of small, repeated triggers (every new lead, every status change) hits monday CRM Standard's 250 actions quickly, and Pro's 25,000 is the real working tier. Zoho Standard's 15 active rules per module aren't metered by volume on the pages we read, but custom code in workflows waits for Enterprise.

Customisation: modules, boards and fields

Zoho CRM is built from modules: leads, contacts, deals and so on, plus custom modules from Standard. monday CRM is built from boards and columns, with unlimited boards and pipelines on every plan but a cap on columns per board. Checked on both vendors' pricing pages and plan tables, 23 and 27 October 2026.

On Zoho, the Standard card lists custom modules and multiple sales pipelines. Professional adds process management, inventory management and quotes (CPQ). Enterprise adds custom buttons and functions, an approval process and a developer sandbox. Records are capped by edition: 5,000 on Free, 100,000 on Standard, and 10 GB, about 5 million records, from Professional up.

On monday CRM, boards, customizable pipelines and 200+ templates come with every plan. The cards cap columns per board at 5 on Basic, 15 on Standard and 75 on Pro, and active contacts and deals at 1,000, 10,000 and 100,000. Workspaces run 1, 3 and 15, and custom dashboards 1, 5 and 50. Ultimate lifts all of these and adds 25,000 API calls a day.

Basic's limits are tight: 5 columns per board and 1,000 active contacts and deals. If you plan custom fields, start the price comparison at monday CRM Standard.

Zoho Projects vs monday work management, briefly

Zoho Projects is cheaper per user at every tier and has the bigger free plan. monday work management puts Gantt views on its Standard plan and time tracking on Pro. Both pricing pages read on 27 October 2026. This is a short price check, not a full comparison.

On 27 October, monday showed its annual Standard and Pro prices as a "Special offer" against higher crossed-out totals, which work out to $14 and $22 a seat at 10 seats. The table uses the prices monday showed that day.

Does Zoho integrate with monday.com?

Not through an app either vendor built for the other's CRM. On 27 October 2026 the monday Marketplace showed a third-party "Zoho CRM Integration" app by Synergytop, described as "Hassle-free Data Sync: monday.com ↔ Zoho CRM", and no Zoho app from monday.com itself. Zoho Analytics can import monday.com data for reports.

The contrast is in the same Marketplace search: HubSpot, Mailchimp and Asana each have an app published by monday.com. Zoho doesn't. We haven't tested the Synergytop app or checked which fields and plans it covers.

Zoho Analytics' monday.com connector brings board data into Zoho's reporting tool, synced every 3, 6 or 12 hours or daily, or hourly on Zoho Analytics' Enterprise plan. An account, org or workspace admin has to set it up. Its help page describes importing and analysing the data. We found nothing there about writing back to monday.com or linking Zoho CRM records to monday items.

So for most teams the answer is an automation tool between the two. n8n, for one, has built-in Zoho CRM and monday.com nodes, and we compare it with the other two common options in Make vs n8n vs Zapier. The usual pattern is to sell in one tool and deliver in the other: a deal won in Zoho CRM creates the onboarding or project item on a monday board.

Whether you need that split at all depends on what runs after the sale. If onboarding, projects and billing follow every deal, keeping them in the same system as the pipeline saves you a sync to maintain. That question is most of the work when choosing between HubSpot, Monday.com, Zoho and Pipedrive.

Moving from Zoho to monday, or back

Both ways work through files, not a direct connection. Zoho CRM's migration tool doesn't name monday.com as a source, and monday CRM's import page doesn't name Zoho. You export to CSV or Excel on one side and import on the other. Checked on both help centers, 27 October 2026.

monday CRM to Zoho CRM: Zoho's Data Migration has "a custom-made setup" for Salesforce, Pipedrive, MS Dynamics and other named CRMs "or any other vendors", plus API transfer from seven named CRMs. monday.com isn't one of them, so monday data goes in as CSV files. Each file can be up to 5 GB, with 200 files at once and 25 GB in total, and only users with the Data Migration permission can run it. Export each monday board and upload it as its own file.

Zoho CRM to monday CRM: monday CRM imports from Excel or CSV on all plans. Each file must have "fewer than 50 columns and 8,000 rows" and be 10 MB or less, with up to 100 files per account an hour. A Zoho module with more than 8,000 records has to be split into several files. If you import into a Leads board with automations on, monday warns that the items' status "will change to New Lead", so switch the automations off first.

Records move; logic doesn't. Zoho workflow rules and Blueprints, or monday automations, have to be rebuilt by hand on the new side. Before you move, read what breaks in a CRM migration.

Zoho CRM or monday CRM: which one to choose

Choose Zoho CRM if you want to start free, need automation on the cheapest paid plan, or expect custom modules and logic. Choose monday CRM if delivery runs on boards, and budget for Standard or Pro rather than Basic.

What are the downsides of Zoho CRM? Going by Zoho's own pages: custom functions in workflows need Enterprise, at $40 a user billed annually; mass email is for sales use, so marketing campaigns mean buying Zoho Campaigns; and Ultimate isn't on the US price cards. monday CRM's downsides on its own pages: no free plan, a 3-seat minimum, monthly automation quotas, and post-sale features only on Ultimate.

Who is Zoho's biggest competitor? That depends on the buyer. We compare Zoho CRM with three more: HubSpot vs Zoho CRM, Zoho CRM vs Pipedrive and Zoho CRM vs Salesforce. For monday CRM against HubSpot, see HubSpot vs Monday.com. Still unsure? Take the 6-question CRM picker.

Our own Monday.com work, as we can describe it publicly: for a vending operator, a multi-location management system on Monday.com; for a construction company, a Monday.com restructure for a 20+ person team; for an EdTech content-production team, a Jira to Monday.com migration with capacity tracking. On the Zoho side we offer platform-agnostic CRM selection across HubSpot, Monday.com, Zoho, and Pipedrive.

  • Choose Zoho CRM if one to three people will use it: the free plan covers 3 users and 5,000 records, while monday CRM bills at least 3 seats once its trial ends.
  • Choose Zoho CRM if you need automation on a small budget. Standard has workflow rules at $14 a user billed annually; monday CRM's automations start on Standard at $17 a seat.
  • Choose Zoho CRM if you expect custom modules, approval processes or custom code later. Custom modules start on Standard, custom functions on Enterprise.
  • Choose monday CRM if onboarding, projects or delivery already live on monday boards, or should. The pipeline and the work after it then sit in one account.
  • Choose monday CRM if price per seat matters most and you have at least 3 sellers. It's $2 to $12 a seat a month cheaper than the paired Zoho CRM tier, billed annually.
  • Skip monday CRM Basic if you plan custom fields or automations: it allows 5 columns per board and lists no automations.
