Zoho CRM vs Pipedrive: All-in-One Suite or Sales-Only Pipeline?

By Mikhail Oskola, Founder & AI Automation Architect · October 23, 2026 · 11 min read

Checked: prices, record and deal caps, automation limits and both migration paths on 23 October 2026, against Zoho's and Pipedrive's own pricing pages, feature lists and help centers, in USD.

Pipedrive vs Zoho, in short: pick Pipedrive if a small team only sells, and Zoho CRM if you want more automation per dollar and room to add marketing or service later. Both start at $14 a month billed annually, but only Zoho CRM has a free plan, and Pipedrive's automations start on its $39 Growth plan. Checked 23 October 2026.

Zoho CRM vs Pipedrive at a glance

Zoho CRM has a free plan for 3 users and prices its editions per user. Pipedrive has no free plan and prices its four plans per seat. Both start at $14 a month billed annually; billed monthly, Zoho CRM Standard is $20 and Pipedrive Lite is $24. Checked 23 October 2026.

Every row comes from the vendors' own pricing pages, feature lists and help centers, read in a US browser, in USD, on 23 October 2026. Zoho publishes two edition tables that disagree in places. We use its complete feature list, marked "Last updated on: May 12, 2026", and cite the older comparison page only where the feature list is silent. Pipedrive also has a page comparing itself with Zoho. We quote it only on Pipedrive's own terms.

What's the real difference between Zoho CRM and Pipedrive?

Zoho CRM is one app in a family. It has modules you can add, custom logic, and 50+ sister apps sold together as Zoho One. Pipedrive is a sales CRM built around the deal pipeline, and it grows through paid add-ons rather than other apps. Checked on both vendors' sites on 23 October 2026.

Zoho's pricing cards show how far the product spreads. Standard lists custom modules, multiple sales pipelines, built-in calling and web forms. Professional adds process management, inventory, quotes (CPQ) and customer portals. Enterprise adds custom buttons and functions, an approval process and a developer sandbox. Zoho's homepage headline is "The easiest AI CRM for growth."

Pipedrive's cards build up from the pipeline. Lite covers leads, deals, contacts and the calendar in one place. Growth adds full email sync, automations and email sequences. Premium adds LeadBooster lead capture, custom scoring and e-signatures, and Ultimate adds account security rules and a sandbox. Pipedrive's homepage headline is "The easy and effective CRM for closing deals."

If Pipedrive's narrow scope is what appeals, Zoho's closer match is Bigin by Zoho. Zoho sells it as a "Simple CRM for first-timers" with "One visual pipeline for every part of your business", at $7 a user a month billed annually, $9 billed monthly. The rest of this article compares Zoho CRM, the product this search is about.

So who is Zoho's biggest competitor here? It depends which Zoho product you mean. Pipedrive competes with Bigin on simplicity, and with Zoho CRM on sales features at the same entry price.

How much do Zoho CRM and Pipedrive cost?

Zoho CRM costs less than Pipedrive at every paid tier except the cheapest one billed annually, where both are $14. Billed monthly, Zoho is $4 to $34 a month cheaper per user, tier for tier. Both pricing pages read on 23 October 2026.

The tiers pair up four to four by their place in each price list: Standard with Lite, Professional with Growth, Enterprise with Premium, Ultimate with Ultimate. That pairing is ours, not either vendor's.

Pipedrive charges per seat and takes annual plans as one payment: Lite is "One payment of US$ 168 per seat/year". Its prices exclude VAT. Zoho charges per user, bills monthly or yearly with no contract, and says "Local taxes may apply."

Zoho's US pricing cards stop at Enterprise. Ultimate, which Zoho's pricing FAQ describes as "tailored for large-scale, bespoke deployments", is priced on Zoho's edition comparison page, dated June 4, 2022: $52 a user billed annually, $65 billed monthly.

Add-ons change the Pipedrive bill more than the Zoho one. Pipedrive sells LeadBooster from $32.50, Projects from $16, Campaigns from $13.33, Web Visitors from $41 and Smart Docs from $32.50. LeadBooster, Projects and Smart Docs come included from Premium; Campaigns and Web Visitors are paid on every plan. The cards don't say what billing period the "Starting from" prices cover. On the Zoho side, marketing campaigns mean Zoho Campaigns, a separate product whose prices we didn't check for this article.

What does a 5-person sales team pay in the first year?

Zoho CRM costs less for five users at every pairing except the cheapest one billed annually, where both cost $840. On the plans most teams compare, Zoho CRM Professional is $1,380 a year and Pipedrive Growth $2,340, both billed annually. This is our arithmetic at list price, before tax, add-ons and setup work, with prices checked on 23 October 2026.

We use five sellers because our HubSpot vs Pipedrive comparison does, so the Pipedrive numbers line up. Pipedrive Growth is its first plan with automations. Zoho has workflow rules from Standard, so the cheapest paid plan with automation costs $840 a year on Zoho and $2,340 on Pipedrive.

For sales follow-up email, neither plan needs an add-on. Zoho CRM Professional includes mass email for sales, up to 500 a day per organization. Pipedrive Growth includes email sync and up to 5 email sequences per company. Newsletters are another matter: that's Zoho Campaigns or Pipedrive's Campaigns add-on, and both are left out of the table.

Neither price list covers setup or data migration. For agency rates in general, see what an automation agency charges.

Is there a free version of Zoho CRM or Pipedrive?

Zoho CRM has one and Pipedrive doesn't. Zoho CRM Free is "Forever free, for 3 users" and holds up to 5,000 records. Pipedrive gives a 14-day free trial with no credit card, and after that you pay. Checked 23 October 2026.

Zoho's Free card lists contact management, workflow automation, custom email templates, data import and export, standard reports, APIs and mobile apps. Its feature list leaves out mass email, Blueprints, webhooks, function credits and assignment rules. Free gets 10 workflow rules per module, 5 of them active, and 5,000 API credits a day.

Zoho's FAQ says Free "comes with the essentials like leads, documents, and mobile apps". Neither the FAQ nor the card mentions deals, so set up the pipeline you need in a free account before you count on it.

Pipedrive's own Zoho comparison page calls its trial "a short-term free plan". It's still a 14-day trial. If you want something cheaper than Pipedrive Lite from Zoho, Bigin Express is $7 a user a month billed annually.

Which has better automation, Zoho CRM or Pipedrive?

Zoho CRM gives more automation for the money. Its workflow rules start on the free plan, while Pipedrive's automations start on Growth at $39 a seat. Above that the two vendors count different things, so compare headroom, not totals. Checked 23 October 2026.

Zoho's feature list gives workflow rules per module: 10 on Free (5 active), 30 on Standard (15 active), 80 on Professional (40 active), 125 on Enterprise (75 active) and 150 on Ultimate (100 active), within an org cap of 2,500 rules. Blueprints, Zoho's guided step-by-step processes, start on Professional with 3, then 50 on Enterprise and 100 on Ultimate. Custom functions inside workflows start on Enterprise. On Standard and Professional, Zoho says function credits are "Available only through extensions".

Zoho's webhooks start on Standard, at 25,000 calls a day or 100 per user license a day, whichever is lower, and Professional allows 50,000 or 100 per user. For a five-user team that works out to 500 webhook calls a day on either plan. Enterprise raises the per-user figure to 500.

Pipedrive's help center says automations are available "on Growth and higher plans" (updated October 12, 2026). A company can keep 50 automations active on Growth, 150 on Premium and 250 on Ultimate, and switched-off ones don't count. Each automation can include up to ten actions, with 3, 10 or 20 if/else steps depending on the plan. Email sequences are capped at 5, 25 and 50 per company.

Webhooks outside automations are "available in all plans", and "Every Pipedrive plan comes with an API token". Pipedrive's daily API budget is 30,000 tokens per seat on Lite, 60,000 on Growth, 150,000 on Premium and 210,000 on Ultimate. Zoho's is 50,000 credits plus 250 per user on Standard, which is 51,250 for five users. Tokens and credits are different units, so don't divide one by the other.

Our reading: on a tight budget, Zoho Standard gives five users 30 workflow rules per module for $840 a year, and Pipedrive Lite gives none. If your logic needs custom code, Zoho's custom functions in workflows start on Enterprise. On Pipedrive, branching if/else steps start on Growth.

Limits that bite: deals, records, storage and API calls

Pipedrive caps leads plus deals per seat. Zoho CRM caps every record in the account, by edition. Five sellers on Pipedrive Lite can hold 12,500 leads and deals; Zoho Standard allows 100,000 records across all modules. Checked 23 October 2026.

Pipedrive's plan matrix sets 2,500 leads and deals per seat on Lite, 5,000 on Growth, 15,000 on Premium and 20,000 on Ultimate, and "300,000 is the maximum combined number of leads and deals allowed" in one company. Custom fields are capped per company at 30, 100, 300 and 500, and reports per seat at 15, 50, 250 and 500.

Zoho's feature list gives 5,000 records (10 MB) on Free, 100,000 records (200 MB) on Standard, and 10 GB, about 5 million records, from Professional up. API credits per 24 hours start at 5,000 on Free and 50,000 plus 250 per user on Standard. The daily maximum is 100,000 credits on Standard, 3,000,000 on Professional, 5,000,000 on Enterprise and no cap on Ultimate.

Zoho's older comparison page, dated June 4, 2022, gives different figures for some of these, including API credits and webhooks on Standard. We go by the 2026 feature list.

What are the downsides of Zoho CRM and Pipedrive?

Going only by each vendor's own pages, here is what each one makes you pay for or work around.

If you handle patient data, read which CRMs sign a BAA before choosing either. Zoho's Standard card lists HIPAA compliance; the BAA terms for both vendors are in that post.

  • Zoho CRM: the US pricing cards stop at Enterprise, and Zoho's 2022 and 2026 edition tables disagree on webhooks, API credits and storage. Read the current feature list before you buy.
  • Zoho CRM: custom functions inside workflows need Enterprise, at $40 a user billed annually.
  • Zoho CRM: webhook calls are capped per user, so a five-user team on Standard or Professional gets 500 a day.
  • Zoho CRM: mass email is for sales use only. Marketing campaigns mean buying Zoho Campaigns as well.
  • Zoho CRM: a migration through the API can't bring custom modules.
  • Pipedrive: no free plan, only a 14-day trial.
  • Pipedrive: Lite has no automations and no email sync. Both start on Growth, at $39 a seat billed annually.
  • Pipedrive: leads plus deals are capped per seat, and at 300,000 per company.
  • Pipedrive: email marketing is a paid add-on on every plan, and buying Campaigns after its trial needs a mandatory account review.
  • Pipedrive: annual plans are one payment up front. Its pages give two thresholds for free implementation help: plans "over $400 a year" in the pricing FAQ, and spending "more than $1000 per month" on its Zoho comparison page. Don't budget on it until Pipedrive confirms in writing.

Can you move from Pipedrive to Zoho CRM, or back?

Yes, both ways, and each vendor names the other. Zoho CRM imports from Pipedrive using Pipedrive's API token. Pipedrive imports from Zoho CRM through Import2, a partner built into its import menu, free up to 1,000,000 records. Checked on both help centers on 23 October 2026.

Pipedrive to Zoho CRM: copy your personal API token in Pipedrive (Settings, Personal, API). In Zoho, go to Setup, Data Administration, Import, choose Pipedrive and paste the token. Zoho says "The entire migration will take place in the backend", emails you when it's done, and lets you "undo or rerun the migration 3 times". Organizations become Accounts, Persons become Contacts, Deals stay Deals, and activities split into Tasks, Calls and Events. Zoho "does not support custom modules in API migrations", and only users with the Data Migration permission can run one.

Zoho CRM to Pipedrive: in Pipedrive, go to Tools and Apps, Import data, Import from other software, and pick Zoho CRM. Import2 asks for your Zoho login, tests the connection, and can create your pipelines, stages and custom fields. Pipedrive says Import2 is free up to 1,000,000 records, works for trial and paying accounts, and lets you undo and redo the import at no extra cost. Allow 24 hours; only global admins can start it. A spreadsheet import is the fallback.

Neither vendor's migration page lists workflows or automations among what moves. Plan to rebuild them by hand, Zoho workflow rules and Blueprints as Pipedrive automations or the other way round. Before you move, read what breaks in a CRM migration.

Zoho CRM or Pipedrive: which one to choose

Choose Pipedrive if a small team only sells and wants a CRM built around the pipeline. Choose Zoho CRM if you want the lower price above the entry tier, automation on the cheapest plan, or marketing and service from the same vendor later.

If HubSpot is also on your list, see HubSpot vs Pipedrive and HubSpot vs Zoho CRM.

Not sure? Take the 6-question CRM picker.

  • Choose Pipedrive if your team only sells, works one pipeline, and wants email sync and sequences in the same plan as the automations. That's Growth, at $39 a seat billed annually.
  • Choose Zoho CRM if you need automation on a small budget. Standard has 30 workflow rules per module for $14 a user billed annually; Pipedrive Lite has none.
  • Choose Zoho CRM if marketing and service should come from the same vendor. Zoho CRM Plus, sold as "Sales, marketing, service in one unified package", starts at $20 a user a month, and Zoho One bundles 50+ apps. Pipedrive grows through add-ons.
  • Choose Zoho CRM if you need custom logic, but budget for Enterprise: that's where custom functions in workflows start.
  • Check Pipedrive's caps first if each seller works a lot of deals. Leads plus deals run from 2,500 per seat on Lite to 20,000 on Ultimate.
  • Want to start free? Only Zoho CRM has a free plan, for 3 users and 5,000 records.

Zoho CRM does and Pipedrive doesn't. Zoho CRM Free is "Forever free, for 3 users", holds up to 5,000 records and includes workflow rules and API access, but no mass email or webhooks. Pipedrive offers a 14-day free trial with no credit card, and its paid plans start at $14 a seat a month billed annually.

Is Pipedrive easier to use than Zoho CRM?+

We can't measure that, and both vendors claim it. Pipedrive calls itself "The easy and effective CRM for closing deals", and Zoho CRM "The easiest AI CRM for growth". What differs is how much there is to set up: Pipedrive is a sales CRM built around the pipeline, while Zoho CRM adds modules, Blueprints and custom functions, with free onboarding.

Which is better for a small sales team, Pipedrive or Zoho CRM?+

Pipedrive, if the team only sells and wants a pipeline-first tool. Zoho CRM, if it needs automation on a small budget. Zoho CRM includes mass email for sales from Standard, 250 a day per organization, and sends marketing campaigns through Zoho Campaigns, a separate product. Pipedrive's email sync starts on Growth.

Can I migrate from Pipedrive to Zoho CRM?+

Yes. Zoho CRM's Data Migration lists Pipedrive: you paste Pipedrive's API token, and Zoho moves accounts, contacts, deals, activities and products in the background, with up to three undos or reruns. Custom modules don't come across. Going the other way, Pipedrive imports from Zoho CRM through Import2, free up to 1,000,000 records.

We checked every Zoho CRM and Pipedrive price, limit and migration path in this article on 23 October 2026, on the vendors' own pricing pages, feature lists and help centers, in USD from a US browser. Zoho Ultimate's price comes from Zoho's edition comparison page, dated June 4, 2022. Check both pricing pages before you buy.
