HubSpot Migration Cost in 2026: What You Pay and What Drives the Price

By Mikhail Oskola, Founder & AI Automation Architect · · 8 min read

Checked: The prices on our HubSpot service page, HubSpot's Smart Transfer and import help pages, and the CRM Data Migration Services entry in HubSpot's Products & Services Catalog on 6 November 2026.

With us, a HubSpot migration on its own costs a fixed $2,000–$5,000 and takes one to two weeks. If the move is part of a full HubSpot build with automation and team training, the project is $5,000–$25,000 over three to eight weeks. HubSpot bills its licenses separately. Where your price lands depends mostly on how much has to be rebuilt rather than copied: custom fields, pipelines, automations, integrations, and the history you want to keep. Retailbox Automation wrote this guide, so the prices in it are ours. It also covers what HubSpot itself offers, and when you can do the job without paying anyone.

What drives the price of a HubSpot migration

Two migrations with the same number of contacts can be priced very differently. Copying a clean contact list takes little time. Deciding what dozens of custom fields should become, then rebuilding the automations that depended on them, takes much longer.

Record count still matters. HubSpot sells its own CRM migration service in tiers by total records: up to 350,000, up to one million, and from one million to under five million, with a cap on custom objects at each tier (https://legal.hubspot.com/hubspot-product-and-services-catalog/consulting-services, read 6 November 2026). The table lists what moves the price and what to count before you ask anyone for a quote.

What you haveWhy it changes the priceCount this before you ask for a quote
RecordsMore records mean bigger test imports and more to check afterwardsContacts, companies, deals and activities, archived ones included
Objects beyond contacts, companies and dealsEach object needs its own map and its own import, linked to the restProducts, tickets, custom objects
Custom fieldsEach one becomes a HubSpot property, gets merged into one, or is droppedFields people actually fill in, not the full list
Pipelines and stagesSomeone has to decide which stages merge and what each one means in HubSpotNumber of pipelines and stages per pipeline
AutomationsThey are rebuilt as HubSpot workflows and tested, not copiedEvery automation, with what triggers it and what it changes
IntegrationsEach connected tool has to write to HubSpot instead and be tested with real recordsTools that read from or write to the CRM
History: activities, notes, emails, filesEach type is a separate import that has to land on the right recordHow many years of history the team actually opens
Duplicates and dead recordsCleaning before the move is cheaper than merging in HubSpot afterwardsA sample of records checked for duplicates
ReportsReports are rebuilt on HubSpot's data modelReports leadership uses every week
UsersEvery record owner needs a HubSpot user, and the team needs trainingNumber of people who work in the CRM

What a migration usually includes, and what it doesn't

This is what a migration from us covers. It starts with a week-1 audit that names specific objects and fields, and it ends with a check you can see yourself:

  • An audit of the current system: which fields are dead, which automations exist, which stages are set by hand.
  • Cleanup and deduplication before anything is imported.
  • A field map: each field kept, merged or dropped, agreed with you.
  • HubSpot built first: properties, pipelines, stages and users.
  • A test import, then the full import with the links between records kept, history included.
  • A field-by-field comparison of a sample of records against the old system before it is switched off.

What sits outside a migration-only price

If the move also means rebuilding sales and marketing automation and training the team, it becomes a full implementation and is priced as one. Connecting your other tools is scoped the same way. We agree that split on the free call, so it is fixed before work starts.

HubSpot licenses are never part of our price. HubSpot bills them directly, and some import features depend on the plan you buy. For example, HubSpot says a Professional or Enterprise subscription is required to import association labels (https://knowledge.hubspot.com/import-and-export/import-objects, read 6 November 2026).

Read the scope of any migration offer for workflows and reports. HubSpot's own CRM migration service lists the objects it moves: contacts, leads, opportunities, accounts, notes, tasks, products, line items, events, attachments, email messages and a few more. Every item on that list is data. Workflows and reports are not on it, so after that service someone still has to rebuild them (https://legal.hubspot.com/hubspot-product-and-services-catalog/consulting-services, read 6 November 2026).

What HubSpot's own tools and services cover

HubSpot Smart Transfer is available on all HubSpot products and plans. It pulls records from a list of source apps that includes Pipedrive, Zoho CRM and monday.com, and keeps syncing in the background after the first run. Three limits affect cost: only Super Admins can run it, the transfer only goes into HubSpot, and "You must have a Data Hub subscription to transfer custom field mappings" (https://knowledge.hubspot.com/integrations/transfer-data-from-other-apps-using-hubspot-smart-transfer, read 6 November 2026). Most setups that are worth migrating carefully have custom fields, so check that last point against your plan.

HubSpot also sells CRM Data Migration Services, in the Bronze, Silver and Gold tiers described above. Each has a delivery period of 60 days from purchase and may be carried out by one of HubSpot's third-party service providers. The service starts from a supported source CRM and does not take flat files. Pipedrive and Zoho are on its source list; monday.com and spreadsheets are not. The Bronze tier leaves out merging with data already in HubSpot and filtering. HubSpot's catalog publishes no price for these tiers, so the price has to come from HubSpot.

Doing it yourself vs. hiring help

Doing it yourself costs staff time, plus any HubSpot plan you need for the parts you rely on, such as Data Hub for custom field mappings in Smart Transfer. For a small, tidy setup that is often the cheapest route: one pipeline, a few custom fields, few or no automations, a few thousand records, and a source app Smart Transfer supports.

Paying for help makes sense when mistakes get expensive. That means several pipelines, automations that run the sales process, integrations writing into the CRM, or years of activity history that has to sit on the right records. Problems in those areas tend to show up after the old CRM is switched off, when they cost the most to fix. The per-source guides walk through the steps if you want to try first: Pipedrive to HubSpot, Zoho CRM to HubSpot and monday.com to HubSpot. The usual failure points are in what breaks in a CRM migration.

Frequently asked questions

How much does a HubSpot migration cost?+

With Retailbox Automation, a migration on its own is a fixed $2,000–$5,000 and ships in one to two weeks. A full HubSpot implementation with data migration, sales and marketing automation and team training is $5,000–$25,000 over three to eight weeks. Managed support after launch is $299–2,000 a month. HubSpot licenses are billed separately by HubSpot.

What makes a HubSpot migration more expensive?+

Mostly the things that have to be rebuilt rather than copied: custom fields, several pipelines, automations, integrations, reports, and years of activity history that must land on the right records. Duplicates add work too. Record count matters, and HubSpot prices its own migration service in tiers by total records.

Does HubSpot migrate your data for free?+

HubSpot Smart Transfer is available on all HubSpot products and plans, but HubSpot says a Data Hub subscription is needed to transfer custom field mappings, and only Super Admins can run it. HubSpot also sells CRM Data Migration Services in Bronze, Silver and Gold tiers. Its catalog shows no price for them, and the objects it lists for migration are data only, with no workflows or reports.

How long does a HubSpot migration take?+

With us, a migration on its own takes one to two weeks. Inside a full implementation the migration runs in weeks three to six of a three-to-eight-week project. HubSpot's own CRM Data Migration Services have a delivery period of 60 days from purchase.

Is it cheaper to migrate to HubSpot yourself?+

Often, if the setup is small: one pipeline, few custom fields, few automations, a few thousand records, and a source app Smart Transfer supports. You pay in staff time and possibly a Data Hub subscription. With several pipelines, automations running the sales process or history you can't lose, help is usually worth it, because those mistakes tend to surface after the old CRM is switched off.

Who can migrate our CRM data to HubSpot?+

Retailbox Automation migrates small and mid-size B2B teams to HubSpot from Pipedrive, Salesforce, Zoho CRM, monday.com and spreadsheets: data mapping, deduplication, workflow rebuilding, integrations and team training, with a field-by-field check before the old CRM is switched off. Whoever you hire, ask how they handle automations, history and the final check against the old system.
